Terms and Conditions of The Elstead Classic Hotel
Private Guest Booking Conditions
Deposits
All bookings are subject to a £30 deposit, per person. The deposit is payable by cheque, bankers draft, visa, MasterCard, Maestro or solo and is non-refundable. All deposits must be received within 7 days of making the initial reservation, all bookings will remain provisional until this time.
Pre Payment
Anyone wishing to settle their account by cheque must do so at least 7 days prior to their arrival, please be aware that cheques will not be accepted for greater value than the accompanying guarantee card whilst at the Hotel.
Balance
All outstanding balances must be settled upon arrival and any charges to room accounts during your stay are to be settled on the day of departure in full.
Function / Group Booking Conditions
Deposits
All function / group bookings are confirmed subject to a £200.00 non-refundable deposit to be received within 14 days of making the initial reservation, all bookings will remain provisional until this time.
Pre Payment
For all group bookings payment is requested one week prior to the event
Balance
Any outstanding balance is to be settled 21 days after the event at most, all accounts are to be checked, signed and agreed before departing, as discrepancies in the bills cannot be rectified later.
Final Numbers
Guaranteed catering numbers will be required 7 days prior to the event and the numbers given at this time will be the minimum number charged for, reduction of numbers in attendance on the day will be charged at 100%.
Amendments and Cancellations
Cancellation of a group booking must be received in writing and the following charges are applicable:
12 calendar months or longer – no charge
Between 6 and 12 months – 10% of the rates quoted
Between 4 and 6 months – 25% of the rates quoted
Between 2 and 4 months – 50% of the rates quoted
Less than 2 months notice 100% of the rates quoted
In the event that any guests do not arrive or depart early they will be charged 100% of the rates quoted per night of non attendance, the hotel will endeavour to re – let the accommodation and function rooms in the event of a group cancellation and a reduction will be made on the cancellation fee if the hotel is successful in doing so.
Rooming Details
The hotel requires a written room list 2 weeks prior to the arrival, any cancellations made after receiving this room list will be charged for, at this point any final requirements regarding diets, disabilities etc should be clearly stated in order for them to be adhered to.
Food and Drink
The hotel will not permit any food, drinks or spirits being brought into the Hotel for use during any function without prior arrangement with Management. Corkage fees are payable for all beverages consumed but not purchased on the premises.
